Service Agreement & Terms/conditions for Hire




This website is operated by Pony Party Time (Kidz LLC) Throughout the site, the terms “we”, “us” and “our” refer to Pony Party Time (kidz llc). Pony Party Time (Kidz LLC) offers this website, including all information, tools and services available from this site to you, the user, conditioned upon your acceptance of all terms, conditions, policies and notices stated here.

By visiting our site and/ or booking a service from us, you engage in our “Service” and agree to be bound by the following terms and conditions (“Terms of Service”, “Terms”), including those additional terms and conditions and policies referenced herein and/or available by hyperlink. These Terms of Service apply to all users of the site, including without limitation users who are browsers, vendors, customers, merchants, and/ or contributors of content.

Please read these Terms of Service carefully before accessing or using our website. By accessing or using any part of the site, you agree to be bound by these Terms of Service. If you do not agree to all the terms and conditions of this agreement, then you may not access the website or use any services. If these Terms of Service are considered an offer, acceptance is expressly limited to these Terms of Service.

Any new features or tools which are added to the current store shall also be subject to the Terms of Service. You can review the most current version of the Terms of Service at any time on this page. We reserve the right to update, change or replace any part of these Terms of Service by posting updates and/or changes to our website. It is your responsibility to check this page periodically for changes. Your continued use of or access to the website following the posting of any changes constitutes acceptance of those changes.

Contract & Terms with Pony Party Time.

As a booking customer with Pony Party Time, you agree to up hold Pony Party Times Policy, procedure & Payment terms, including but not limited to “Terms of Service”, “Cancellation Policy”, “Requirements for your event” & “Rules for Hire”.

As a booked client, you agree to hold Pony Party Time & all affiliates harmless now and in the future with prejudice. You agree that there are no refunds & payment is still payable (due) whether services are performed,rescheduled or cancelled as outlined in our “Terms of Service” & “Cancellation Policy”. By booking a service with Pony Party Time & submitting your Reservation Form; you the client agrees to Pony Party Time contract & price(s). You understand that you are liable for the entire amount booked for the event or party package you have chosen. If any additions are made to your reservation; you are responsible for payment of the new balance, including but not limited to: credit/debit card processing fee(s), listed fee’s for cancellation, rescheduling, etc. You the client are liable & responsible to pay your balance of monies owed whether you participate, or choose to cancel your party or event. You guarantee to not dispute any charge(s) made to your card for the agreed upon payment for the services contracted with Pony Party Time, including any and all additional charges that are listed on the website or reservation/booking form.

Terms of Service

BY booking your event and/or completing an RESERVATION; YOU the client UNDERSTAND, HAVE READ AND AGREE TO THE TERMS SET FORTH & WILL UPHOLD IT. By completing your reservation, you the client guarantee to Pony Party Time that your event/party date and time is now booked (as long as Pony Party Time confirms availability via email, text or phone call upon making the reservation).You will then pay your deposit, pay balance in full prior to the event/party or follow any other arrangements stipulated.

Pony Party Time reserves the right to refuse service to anyone or any event.On rare occasions an animal or person, may be unwell and therefore not available for the event. Truck/ horse trailers break down; or can have a flat tire along the way. We do our best to be there on time and fulfill the time frame you the client booked (example: 2 hours with hourly breaks)

For all activities with animals:

Sufficient Adult & Parent supervision must be provided to enable us to watch over the animals, for safety issues. Pony Party Time is not Crowd Control or responsible for children and their actions.



We strive to email you prior to your party to confirm the party location, date, and any other party details. Please email us back at ponypartytime@live.com  to ensure that we have the correct information. It is the host/hostess/representative responsibility to insure that we have accurate information. (For example: address-location-gate code-set up instructions-etc)


Birthday Parties:  $100 non-refundable and non-transferable date retainer/deposit required immediately upon booking our services. A Card processing surcharge fee and insurance fee will be added on. (Deposit is Non- Refundable and non-transferable).


Large Events: ½ of quoted price/bid is required as a date retainer/deposit upon booking our services immediately. (Deposits/Payments are Non- Refundable and non-transferable). Payable by; Check, Card processing (w/ surcharge fee), Invoiced.




The balance is due on the day of your scheduled party in the form of CASH or Cashier Check. Payable upon our arrival and prior to services being rendered or set up, please. You may pay your balance in advance (2 days or earlier) to your party date via debit card or credit card processing (surcharge fee will be added)

If we must wait for payment, this will delay your scheduled party time with the animals. We will not stay late if this happens. Please do not SHOUT OUT how much you are paying us. We do not want to be robbed and it is common courteously. Please Pay in complete PRIVATE.



The remaining ½ balance is due 2 weeks prior to your event.

Payable to: Kidz LLC

Or we can charge a credit/debit card. (Surcharge/Convenience fee will be included)


Gratuity is not included, but is greatly accepted (15-20% is appreciated).

Please give gratuity to the supervisor/driver for proper disbursement to handlers.






In our opinion our ponies are well behaved, but they are still animals, not machines. Children AND Adults will be asked to keep their distance from the ponies until it is their turn to ride or interact. Allow our handlers/volunteer to run the pony operations.  Please do not feed the ponies or put hands near their mouths. (for safety reasons)

Adults/Parents are required to lift their children onto the ponies (if being ridden).

Weight restriction/requirements:

Birthday Parties:       Medium Ponies: up to 75lbs   Smaller Ponies: up to 60lbs

Larger Events:         No one over 60lbs can ride.



The petting zoo/farm is for petting only.

For safety reasons;

NO ONE  is permitted to pick up, chase, feed, ride, harrass or harm the animals.

If you need for us to provide artificial grass for the smaller petting zoo animals to go on top of, please notify us before your party/event. *based on availability. First booked-First reserved.


Larger Events:

If you will be collecting money/tickets/stamping hands etc. for either pony rides or zoo entrance, you will provide staff to do so for the entire duration of the event.

If you are not collecting money/tickets/stamping hands/wrist bands for the petting zoo, then the zoo will be considered an exhibit where your guests can pet over the fencing.

If there are to many participants/guests/crowd attending, the zoo may be shut down at anytime, for the safety or sanity of the animals, based on our judgement of the environment and participants/guest/crowd behavior.



It is the responsibility of the host/hostess (you, the representative) to insure that all participants/guests sign our release waivers and follow our rules for participation around the animals.  We will provide the waivers at your party/event.


**You must provide a “volunteer(s)” to make sure everyone signs the waiver, crowd control and follows directions.



In the case of inclement weather we will come unless it is a constant downpour of rain. If it is rained out, we will reschedule your party/event for another date & time (based on our availability). You must contact us prior to leaving our facility. Otherwise full payment is due and payable.


    Animals and Children should not be in direct heat or sunlight, especially during the hotter time of the day.

For the months of (end of May)-June-July-August   All Bookings need to be before 11:30am and  6:30pm (and after)

Kids will be on summer break & out of school anyways.

**The Motorized riding Ponies can go out at any time**


The Winter months are typically nice, just about any time is fine (check in with us)




We will want to park close in proximity to the place we will set up. Depending on the event/party; the truck and trailer will need to be close to the animals (for those just in-case moments). Failure to provide adequate parking location can or will result in delaying our set up for your party/event. This time will not be made up to you as it is your responsibility to reserve parking for our truck and trailer. We use our trailer(s) throughout the day to give our animals breaks and rest. You will be able to provide convenient, close parking to our set up area. This parking area must be easy to exit in case of animal emergency, etc.



We are rarely ever late to a scheduled party/event. However, due to increased volume of traffic, inclement weather, and/or highway construction, your party is subject to a 30- minute leeway. In the event the animals are late, they will stay for the allotted time booked.


Events: There is an additional charge, not included in the event bid if you require us to be set up/or have our vehicles in place, for any reason any more than ½ hour prior to event start time. The charge is $100 per hour and is payable prior to your event/party.


We are more than happy to accept requests for a specific animal and will most likely be able to accommodate that request. However, due to schedules, or any other extenuating circumstance, you may not receive the specific animal that was requested. Please rest assured

that each and every one of our animals are well kept, well-mannered and eager to please. Due to the nature of animals; no particular animal is guaranteed to attend an event/party. (Luckily this rarely happens). We reserve the right to substitute, change or not include animals for any reason. Our main concern is ALWAYS the health, comfort and safety of our animals




The location area must be a “danger free zone”. No Dogs. No Bounce houses. No Balloons. No poisonous plants (oleanders). No rocks.

We reserve all rights to determine  where and where not we are willing to operate our services at. Do not argue with us.

Great Location Ideas:

Cul-de-sacs, Flat Driveways, Grass, Front Yard, parking spot in front of house/location,

Artificial Grass, Dirt, Pea gravel (not rocks), Asphalt, Concrete


There must be a useable (potable) source of water nearby and on site for us to give the animals water.


** Working Water Hose / Facet is Needed.

** Shade on hotter days or rainy days is needed and required. (Tents, trees, etc)


It is the sole responsibility of the hiring party (you the host/hostess/event representative) to ensure that the animals are allowed and approved to attend at the location of your choice.




Our company is serious about NO CANCELLATION or RESCHEDULING (unless due to inclement weather)


In the event you decide to cancel or reschedule for any reason, you will forfeit the deposit / date retainer. Remaining Balance is due and payable immediately upon notification of cancellation &/or rescheduling. Your Card on File will be charged for the remaining balance (including Convenience fee) and new date retainer. You may have 14 days to reschedule, subject to our availability.   Remaining Balance (that is paid for) is credited to your next scheduled event with us. A new deposit is required to reserve your newly requested date & time.



Rescheduling fee: $100 towards a new deposit / date retainer.

Failure to pay remaining balance: $50 per month.

Disputed Charge(s) on Card: $25 per dispute.


35% fee will be added on for all delinquent accounts sent to collections. This includes nonpayment for cancellations, no shows, rescheduling fee and any owed money as per service provider ( Pony Party Time) Terms & policy page.


Rescheduling Policy (in-part)

Due to the large block of time needed to schedule an event with our company & loss of opportunity costs, there is a $100 rescheduling fee (except for inclement weather situations). Rescheduling notice must be received via email & text message within 2 weeks (14 days) prior to your scheduled event with our company. ½ of paid deposit/Date Retainer will be forfeited (non-refundable/non-transferable/non-credited). ½ of date retainer/deposit will be credited towards a rescheduled event for up to 3 months if cancellation falls within the weather cancellation guidelines (inclement weather) Remaining balance/Payment for the event is due immediately upon notification to reschedule. Events that cannot be rescheduled within 3 months will forfeit any payments made.  Replacement booking will be rain or shine. No refunds or credit will be given towards another event if replacement booking is cancelled. Full payment is required immediately for all money owed for the original event booked. Full payment must be paid to Pony Party Time immediately & prior to the date the original party/event was scheduled. If payment is not paid accordingly & promptly; the debit/credit card on file will be charged (with Convenience processing fees). If card is declined, you the client will be sent to collections &/or legal action will be perused for full payment owed along with any other fee’s including but not limited to Pony Party Time lawyer(s), court filing fee’s, mediation, etc.





If any person or place requires an additional insurance policy to be purchased for an event/party, we need at least 1 week to process the request through our insurance company. The minimum cost is between $25-52 per additional name. It is your financial responsibility to compensate us and a separate check must be paid to our insurance company immediately upon request of additional/certificate. Made payable to our insurance company. We need ample amount of time to accomplish your request. Failure to request in a timely manner is the sole responsibility of the host/hostess/event representative.

You are responsible for Compliance with Legal and Insurance Requirements. The Event Host/Hostess (you) is responsible for ensuring that the activities planned pursuant to this Agreement are compliant with all applicable legal and other requirements applicable to the Location, including but not limited to obtaining permits and providing proof of insurance:

If additional insurance or legal work (such as revision of liability release forms) is required, or addition/certificate of named insured parties to Pony Party Time’s policy is required, the Event Host/Hostess shall be responsible for the cost associated therewith.




The host/hostess, representative, parent, client, family members and any spectators at your party/event hereby waive the right to bring any claims or complaint of any kind with any court, federal, county, city or other administrative agency; or to defame or disparage or comment regarding Pony Party Time (Kidz LLC), owner’s, managers, animals or any of their agents in any online review, vlog, blog, website, newsletter, email or any social media forum.



Pony Party Time reserves the right to charge client card accordingly for deposit payment owed, balance owed (if not paid as agreed upon); rescheduling, fee’s, cancellation payment, additional services or time added to client event/party or charge backs. An convenience fee will be applied to accommodate the credit/debit card processor for their services per each charge of card.

No Refunds.  Charge backs are not permitted.

A Valid credit card on file is mandatory for all bookings. Declined cards are subjected to $25.00 per decline.

By booking your event/party, you the client authorize PONY PARTY TIME to charge your debit/credit card accordingly. This includes full payment, deposit, no show, cancellation, rescheduling fee, upgrades & add on services, Collection agency payments and additional card processing fees.

Client (you as the booking party) will pay any and all fees ( typically 35%) for all delinquent accounts sent to collections. This includes nonpayment for cancellations, no shows, and any owed money as per our policy page.



Fortunately Pony Party Time has a zero incidental or accident report with children interacting with the animal(s).

But please understand that their are some risk involved just like allowing your child to:

  • swim in a pool (drowning)
  • jump in a bounce house (head butting, stomped on, fallen on, to many injuries to list)
  • driving in a car(accidents)
  • riding their bike on the side walk (accident and falling down or hit by a car)
  • attending school (way to many injuries to list).

We believe in informing parents, and anyone who does not tell you everything may be hiding something or not big on safety.

This is a typical release warning/waiver that you would read and/or sign if you were to go on a guided horseback trail ride, or participating in horse back riding lessons, or even go to show grounds where horses are! Don’t let this scare you.

LIABILITY RELEASE : I, we, as a guardian/parent, supervisor,or responsible party, acknowledge the risks and potential risks of horseback/pony riding, including risk of bodily injury or death resulting from kicks and bites, falling off horse/pony or horse/pony falling on rider, being dragged by a foot caught in the stirrups, being thrown by horse/pony, equipment failure or collision with horses/pony or vehicles or other inanimate objects. I hereby, intending to be legally bound for myself, my child(ren),my heirs and assigns, executors or administrators, waive and release forever all claims for damages against PONY PARTY TIME , its board of directors, instructors, therapists, volunteers and/or Employees for any and all injuries and/or losses I may sustain as a result of use of PONY PARTY TIME on the property, equipment, or facilities. Ride At Own Risk. Participate at own risk. Riding Helmet is recommended. IF you or your guests choose not to have your child wear a helmet, then they waive all rights and assume all risks liability & Risks Involved with injuries involved without wearing helmets.





Liability waiver must be signed for EACH person/child participating or engaging in activity around or near the animal(s).

Minor children need to have parent’s signature (including host/hostess)on the form.

Person’s will not be allowed to participate without a signed waiver on record. It is Your (client/bookie/Host/Hostess) Responsibility to make sure all your guests 18 yrs and older (or parents of children) sign the appropriate waiver.

By hiring Pony Party Time (Kidz LLC) services; you the client are confirming that you agree to all terms, conditions, rules, requirements, payment & cancellation policy set in place by PONY PARTY TIME. You agree to enforce them onto your family, friends, event coordinators, party planners, participators, spectators or anyone involved with or around your event.

Severability: If any provision of this Agreement or the application thereof to any person or circumstances is held invalid, such invalidity shall not affect other provisions or applications of this Agreement which can be given effect without the invalid provision or application. In lieu thereof there shall be added a provision as similar in terms to such illegal, invalid and unenforceable provision as may be possible and be legal, valid and enforceable.
